Vinapply

Welcome to Vinapply

Vinapply is an AI-powered job search autopilot. Once configured, it continuously scans hundreds of job portals, scores every listing against your preferences, tailors your resume for each application, submits on your behalf, and manages recruiter replies — all without you lifting a finger.

What Vinapply does for you

Scans 200+ job portals 24/7 and surfaces only high-match roles.
Rewrites your resume for every application using the exact language of the job description.
Submits applications via official APIs and browser automation — indistinguishable from manual applying.
Drafts recruiter replies in your voice, ready to send with one click.
Tracks every application from submission to offer in a visual kanban board.
Quick start: Most users are fully configured and receiving interviews within 48 hours of signing up. The five most important setup steps are: Upload resume → Set job criteria → Connect portals → Enable auto-apply → Set salary floor.

Set up your profile

Your profile is the foundation Vinapply builds every application from. A strong profile means better-tailored resumes and higher match scores across every job you apply to.

Uploading your resume

1
Go to Resume & profile
Click Resume & profile in the left sidebar under SETUP, or navigate to /resume.
2
Upload your file
Click Upload resume and select your PDF or DOCX. Vinapply parses every section — skills, experience, education, projects — and stores them as structured data it can reuse and adapt.
3
Review AI suggestions
After parsing, Vinapply scores your resume and surfaces improvements. Each suggestion shows the before/after impact on your ATS score. Click Apply on each suggestion you want to keep.
4
Add missing information
Fill in any gaps the parser flagged: target salary, preferred locations, notice period, work authorization status. These drive the matching engine.

Profile strength

The Profile Strength gauge in the resume sidebar shows a live score (0–100) based on ATS compatibility, resume completeness, and applied AI suggestions. Aim for 85+ before enabling auto-apply.

Add specific technologies, tools, and methodologies to your skills section. Vinapply's scoring engine matches these against job descriptions — the more specific you are, the higher your match scores will be.

Connect job portals

Vinapply submits applications through connected job portals. The more portals you connect, the wider Vinapply's reach and the more jobs it can apply to on your behalf.

Supported portals

Vinapply supports 200+ portals including LinkedIn, Greenhouse, Lever, Workday, Ashby, Rippling, SmartRecruiters, Indeed, Glassdoor, Wellfound, Y Combinator Jobs, and many company career pages directly.

1
Open Portals
Navigate to Portals in the sidebar (under SETUP). You'll see a grid of supported platforms.
2
Connect your first portal
Click any portal card and select Connect. Vinapply opens an OAuth flow — you log in once, and Vinapply stores a secure token. Your credentials are never stored; Vinapply uses the platform's official API.
3
Connect more portals
Repeat for each platform. We recommend connecting at least LinkedIn + Greenhouse + one company-direct portal for comprehensive coverage. Each connected portal is shown with a green status indicator.
Some portals (Workday, Taleo) use legacy application forms that require more profile data. Make sure your profile is complete before connecting these to avoid partially-submitted applications.

Configure auto-apply

The Automation page is Vinapply's control panel. Here you define exactly which jobs Vinapply applies to — and which it skips. Good configuration is the difference between a spray-and-pray approach and a targeted, high-reply-rate campaign.

Key settings

Target roles: Comma-separated job titles Vinapply targets (e.g. "Business Development Manager, Senior BDM, Sales Manager"). Be specific — too broad increases noise.
Match score floor: Minimum score (0–100) required before Vinapply applies. We recommend 75+ for most users. Higher floors mean fewer but better applications.
Daily application cap: Maximum applications Vinapply submits per day. Free plan: 10. Autopilot: unlimited (default 50). Adjust based on your urgency.
Salary floor: Minimum total compensation. Vinapply skips any role listed below this threshold and flags roles where salary is not disclosed.
Location preferences: List cities, metros, or "Remote". Vinapply applies a location multiplier to match scores for geographic fit.
Active hours: Set a schedule (e.g. 8am–10pm) to control when Vinapply runs. Useful for matching business hours in target markets.
Blacklisted companies: Companies Vinapply will never apply to, no matter the match score. Add past employers or companies you're avoiding.

Enabling the agent

1
Review all settings
Read through each setting carefully before enabling. Configuration changes take effect immediately on the next scan cycle (every 15 minutes).
2
Toggle Auto-apply on
Flip the Auto-apply toggle to ON. The green indicator in the sidebar will animate to show the agent is active.
3
Monitor the first 24 hours
Check the dashboard activity feed after enabling. You'll see every action Vinapply takes in real-time — jobs scanned, matched, and applied to.
Start with a high match floor (85+) and relax it over time if volume is too low. It's better to apply to 10 great-fit roles than 100 mediocre ones — recruiters can tell the difference.

Understanding job scores

Every job in your feed is scored from 0–100 by Vinapply's matching engine. The score is a weighted average across five dimensions. Click the Why? button on any job card to see the full breakdown.

The five scoring dimensions

Skills match
35%
How many required skills from the JD appear in your profile. Matched skills are highlighted green; gaps are amber.
Experience
25%
Years of experience required vs. your profile. Penalises over- or under-qualification outside 1 band.
Domain
20%
Industry and product-type alignment (e.g. B2B SaaS, consumer mobile, fintech). Derived from your work history.
Location
12%
Geographic match between your preferences and the role location. Remote roles score 92% of on-site equivalent.
Salary
8%
Whether the listed range (or estimated market rate) clears your salary floor.

Salary benchmarking

Each job card also shows a market salary range bar (p25–p75) for that role archetype and location. A colored dot shows where the listed salary falls within the range. On the job detail page, you'll see your exact percentile position and whether the role clears your salary floor.

Scores are deterministic — the same job always gets the same score. They update when you add new skills or experience to your profile.

Managing your pipeline

The Tracker is a kanban board showing every application Vinapply has submitted, organized by stage. It's your command center for the human side of the job search: interview scheduling, offer negotiation, and follow-ups.

Pipeline stages

Applied: Applications Vinapply has submitted. Cards show the score, salary estimate, and application date.
Screening: Recruiters who have replied or requested a screening call. Move cards here manually or Vinapply moves them automatically on reply detection.
Interview: Active interview processes. Add interview dates in the card detail view.
Offer: Roles where you've received an offer. Market salary range is shown to help with negotiation.
Rejected / Withdrawn: Closed applications, kept for learning. Review rejection patterns in Analytics.

Working with cards

1
Drag cards between stages
Drag any card left or right to move it to a different stage. Vinapply logs the timestamp of every stage change.
2
Open card detail
Click a card to open the detail panel. Add notes, upload offer letters, log interview dates, and see the full application timeline.
3
Add manual applications
Click Add application to track roles you applied to manually — so your pipeline is always complete.
Set a follow-up reminder on every card in the Applied stage. Vinapply's inbox will draft a polite follow-up email after 7 days of silence — one click to send.

AI inbox & replies

The Inbox consolidates every recruiter message across all connected portals into a single thread view. Vinapply reads each message and drafts a reply in your voice — calibrated for tone, seniority, and context.

How reply drafting works

Vinapply analyzes the recruiter's message, cross-references the job you applied to, and generates a reply that: maintains a professional but personable tone, answers any questions asked, proposes next steps, and avoids phrases that commonly trigger screening filters.

1
Open Inbox
Navigate to Inbox in the sidebar. New messages show a count badge when unread.
2
Review the draft
Click any message thread. The AI draft appears in the right panel. Read it carefully — AI drafts are a starting point, not a finished product.
3
Adjust tone if needed
Use the Tone selector (Formal / Balanced / Friendly) to regenerate a different voice. Each re-generation uses the same facts but different phrasing.
4
Send or edit
Click Send now to dispatch immediately, or click into the editor to make manual changes first. Vinapply logs every sent message to the application timeline.

Auto-send mode

In Settings, you can enable Auto-send for standard acknowledgements (scheduling confirmations, availability checks). A 30-second countdown appears before each auto-send so you can intervene. Do not enable auto-send for anything involving salary negotiation.

Always read AI-drafted replies before sending for interview invitations, offer negotiations, or any message that contains specific dates, numbers, or commitments.

Resume optimization

Vinapply never submits your original resume. For every application, it creates a tailored version that mirrors the language and priorities of that specific job description — without changing facts.

What tailoring changes

Reorders bullet points within each role to surface the most relevant achievements first.
Mirrors keywords from the job description to improve ATS pass-through rates.
Adjusts the skills section to lead with technologies mentioned in the JD.
Rewrites the professional summary to align with the role's stated priorities.
Adds quantified outcomes where your profile data includes metrics (e.g. team sizes, revenue impact).

ATS score checker

The ATS panel in the resume page runs 12 checks including: keyword density, section headings, date formatting, link validity, file format compatibility, and character encoding. All 12 should be green before you enable auto-apply.

Reviewing tailored versions

From the Tracker card detail view, click View tailored resume on any applied card to see the exact version Vinapply submitted. You can download it as a PDF or compare it side-by-side with your base resume.

Periodically update your base resume with new skills, projects, or achievements. Vinapply's tailoring is only as good as the raw material it has to work with.

Analytics & reporting

The Analytics page gives you a full-funnel view of your job search performance. Use it to identify what's working, what isn't, and where to focus your energy.

Key metrics

Applications sent
Total auto-applies Vinapply has submitted in the selected period.
Reply rate
Percentage of applications that received any recruiter response. Industry average is 4–8%; Vinapply users average 28–34%.
Interview rate
Applications that reached the interview stage. A healthy rate is 15–25% of replies.
ATS pass-through
Percentage of applications that passed automated screening. Shown per portal.
Weekly velocity
Applications per week trend chart. Useful for spotting drops in portal connectivity.
Top matched skills
Skills in your profile that appear most often in matched job descriptions.

Time range & export

Use the time range selector (7 days / 30 days / 90 days / All time) to scope the view. Click Export to download a CSV of all applications in that range, including portal, match score, salary range, stage, and timestamps.

Tips & advanced usage

Getting more interviews

Set your match floor to 80+ and connect at least 3 portals. Volume combined with fit is the strongest predictor of reply rate.
Add measurable achievements to every role in your resume ("Led a team of 6", "Reduced load time by 40%"). Quantified bullets perform significantly better in ATS screening.
Enable follow-up drafts in Automation settings. A single well-timed follow-up increases reply rate by ~18%.
Keep your profile skills section updated — add new technologies or tools as you learn them. Vinapply re-scores your profile immediately.

Portal strategy

Connect Greenhouse and Lever first — they cover the majority of venture-backed and tech company job postings.
Add LinkedIn for visibility into roles posted exclusively there. Note: LinkedIn has rate limits; Vinapply respects these to protect your account.
For senior roles (AED 40K+/mo), add direct company career pages in the portal settings. These often post roles before listing them publicly.

Managing high volume

If you're getting more replies than you can handle, raise your match floor rather than lowering your daily cap. Quality of match matters more than volume.
Use the Blacklist in Automation to exclude companies in industries you're not interested in. This prevents wasted applications and keeps your metrics clean.
Check the Inbox daily. Recruiter response windows are short — a reply within 4 hours correlates strongly with interview conversion.

Privacy & security

Vinapply stores your resume encrypted at rest (AES-256) and in transit (TLS 1.3). The original is never shared verbatim with employers.
Portal credentials are stored as OAuth tokens — Vinapply never sees your passwords. You can revoke access from any portal at any time.
You can delete your account and all associated data at any time from Settings → Account → Delete account. Deletion is immediate and irreversible.
The most successful Vinapply users treat it like a sales funnel: optimize for top-of-funnel (more high-quality applications), then focus your own time on mid-funnel (interview prep) and bottom-funnel (offer negotiation). Vinapply handles the top; you handle the rest.
